  1. 1. Introduction
    1.1. These terms and conditions (Terms) are effective as at the date specified above and may be amended by Reflections Holidays (ABN 26 087 692 248) from time to time.

    1.2. On registration each Member accepts these Terms and any published rules, policies and procedures that may be adopted by Reflections in relation to the Reflections Loyalty Club, known as the ‘Reflections Outsiders Loyalty Club’ at any time.

    2. Membership
    2.1. Membership is open to individuals aged 18 years or over.
    2.2. Each individual applicant is only entitled to hold one Membership at any one time and will receive a unique Loyalty Number.
    2.3. Any person wishing to become a Member must apply for Membership. Reflections Holidays may at its sole discretion and without giving reasons, accept or reject any application for Membership.
    2.4. Submission of personal details is mandatory for activation and verification of Membership. Such details include an applicant’s full name, email address, contact phone number, postcode and date of birth. All personal information of a Member will be held in accordance with the Reflections Holidays Privacy Policy. Membership may only be used during the period that it is current and valid. Membership will remain current and valid from the date of registration and for so long as Reflections Holidays operates and maintains the Reflections Outsiders Loyalty Club program in its current format.
    2.5. Member’s must provide a valid email address to create a Membership. Members who are found to not have given an email address at sign-up will have their Membership cancelled unless they provide one. Members who unsubscribe from Membership emails will no longer receive communications related to their Membership benefits.
    2.6. A Member may cancel his or her Membership at any time by notice in writing to Reflections Holidays at PO Box 212 Carrington NSW 2294 Attention: Manager, Reflections Loyalty Club or by sending an email to RewardsClub@reflectionsholiday.com.au. Membership is not transferable. A Guest can only utilise one Membership per booking.
    2.7. Employees of Reflections Holidays are eligible to join the Reflections Outsiders Loyalty Club but conditions apply to using employee discounts in conjunction with Reflections Outsiders Loyalty Club incentives.
    2.8 Membership of the Reflections Outsiders Loyalty Club is free ($0), both to join and ongoing.

    3. Benefits
    3.1. On application for Membership each Member will be eligible to receive Loyalty Guest Credit, comprising of one or more of Sign-up Credit (see 3.2 and 3.3), Nights Credit (see 3.4), Stay Credit (see 3.5), and Ticket to Tour Credit (see 3.6).

    3.2 Members will be eligible to receive one Sign-up Guest Credit valued at $25 (or such value as Reflections Holidays sets from time to time) issued on joining Reflections Holidays as a brand new member who has never held a valid membership before. Guests with an already existing or previously held membership will not be eligible to receive a Sign-Up Guest Credit A minimum spend of $100 or more in a single stay applies to redeem this credit. This credit can be used in the first stay upon sign-up provided a minimum of $100 is spent in that stay.

    3.3. A Sign-Up Guest Credit will be issued via email no later than 10 days of the end of the calendar month in which the Member completed an online application form provided by Reflections Holidays (unless redeemed at time of booking; this is only valid for Sign-ups after 1 May 2019). The Sign-up Guest Credit will remain valid for 12 months from the date of sign-up and must be redeemed in that period.
    3.4. Members will be entitled to receive ‘Nights Credit’ - $25 Guest credits earnt by accumulating nights stayed with Reflections. Accumulated nights will be referred to as a Members ‘Nights Count’. Nights Credit will be earnt when a members Nights Count reaches 7, 14, 21, 28, 35, 42, 49, 56, 63, and 70 nights in a calendar year with a $25 Loyalty Guest Credit applied on reaching each threshold. Nights Credit is capped at $250 guest credit in a calendar year.
    (a) at midnight on 31 December each year a Members Nights Count will be cleared and reduced to zero; and
    (b) Nights are counted cumulatively towards a Members Nights Count across all reservations for Eligible Accommodation (as defined in clause 7.1).
    (c) A Members group booking will only contribute to a Member’s Nights Count on the individual reservation level, as if it was a single reservation, not multiplying concurrent nights against the number of reservations in a group booking.
    (d) Nights Credit will be applied to a Member’s account after the guest has departed their stay, upon reaching the relevant thresholds outlined in 3.4.
    (e) Nights Credit will remain valid for 12 months from the date of issue and must be redeemed in that period.
    (f) Nights Credit can only be used (and nights earnt) on direct bookings and excludes all Online Travel Agent bookings.
    (g) Nights Credit nights can’t be earnt or used alongside employee discounts.
    (h) Nights Credit cannot be redeemed or attributed to a future Eligible Accommodation booking in the form of a deposit payment.
    (i) Nights Credit can’t be earnt or used on non Eligible Accommodation types
    (j) Nights Credit can’t be used to refund money already paid but can be used on an already booked stay if the balance has not already been fully paid.
    3.5 Members will be entitled to receive ‘Stay Credit’ - $25 Loyalty Guest Credit earnt by accumulating stays at different Reflections Holidays Places (the count of accumulated stays will be called a ‘Stay Count’). Stay Credit will be earnt at every new Reflections Holidays Place a Member stays at in a calendar year where the stay is departed. The first Reflections Holidays Place stayed at in a calendar year is excluded (Stay Credit first applied after staying at a 2nd Reflections Holidays Place in a calendar year, then Reflections Holidays Place 3, 4, 5, 6, 7, etc) with a $25 Loyalty Guest Credit applied on reaching each new threshold. Stay Credit is capped when a Member has stayed at every Reflections Holidays Place in a calendar year. If a guest stays at a park they have already stayed at in the same calendar year a Stay Credit will not be applied.
    (a) at midnight on 31 December each year a Member’s Stay Count will be cleared and reduced to zero. Members will then have their first stay at a Reflections Holidays Place excluded from a $25 Loyalty Guest Credit in the new calendar year and then be assigned credit as outline in clause 3.5.
    (b) a stay must be a minimum of 2 nights to count towards a Member’s Stay Count,
    (d) Stay Credit will be applied to a Member’s account on departure from the stay in which it was earnt and can’t be used on the stay in which it is earnt.
    (e) Stay Credit will remain valid for 12 months from the date of issue and must be redeemed in that period.
    (f) Stay Credit can only be used (and earnt) on direct bookings and excludes all Online Travel Agent bookings.
    (g) Stay Credit can’t be earnt alongside employee discounts.
    (h) Stay Credit cannot be redeemed or attributed to a future Eligible Accommodation booking in the form of a deposit payment.
    (i) Stay Credit can’t be used or earnt on non Eligible Accommodation types
    (j) Stay Credit can’t be used to refund money already paid but can be used on an already booked stay if the balance has not already been fully paid.
    3.6. Members will be entitled to receive a ‘Ticket to Tour’ on staying in at least 20 Reflections Holidays Places (achieve a Stay Count of 20) over at least 100 nights (Nights Count over 100) in a single calendar year across Eligible Accommodation. A Ticket to Tour is a Loyalty Guest Credit that will be assigned to the Members account in the calendar year following the calendar year in which it is earnt. The Loyalty Guest Credit will be equal to the total spend by the guest in the calendar year in which it is earnt. For example, if a Member stays for 105 nights in 2024 across 22 different Reflections Holidays Places and spends $5,000 in the process, Reflections will present them with a Ticket to Tour in the form of a $5,000 Loyalty Guest Credit to be used in 2025.
    (a) all nights and all stays must occur within a single calendar year to count towards a Ticket to Tour incentive.
    (b) Members using Ticket to Tour Loyalty Guest Credit will not be able to earn Nights Credit or Stay Credit, with a Members Stay Count and Nights Count not increasing.
    (c) A Members group booking will only contribute to a Member’s Nights Count on the individual reservation level, as if it was a single reservation, not multiplying concurrent nights against the number of reservations in a group booking.
    (d) a stay must be a minimum of 2 nights to count towards a Member’s Stay Count,
    (e) A Members Nights Count and Stays Count will reset back to zero on the 1st of January every year.
    (f) Ticket to Tour Credit will remain valid for 12 months from the date of issue and must be redeemed in that period.
    (g) Ticket to Tour Credit can only be used (and earnt) on direct bookings and excludes all Online Travel Agent bookings.
    (h) Ticket to Tour Credit can’t be earnt alongside employee discounts.
    (i) Ticket to Tour Credit can be redeemed or attributed to a future Eligible Accommodation booking in the form of a deposit payment.
    (j) Ticket to Tour Credit can’t be used or earnt on non Eligible Accommodation types
    (k) Ticket to Tour Credit can’t be used to refund money already paid but can be used on an already booked stay if the balance has not already been fully paid.
    3.7. Each Loyalty Guest Credit (comprising either a Sign-up Guest Credit, Nights Credit, Stay Credit, or Ticket to Tour Credit) is subject to the following further conditions:
    (a) to claim a Sign-up Guest Credit or to ensure recognition of a transaction as contributing to a Member’s Stay Count and Nights Count a valid Membership must be held, and the applicable Loyalty Number must be quoted, both at the time of booking and on checking in at a Reflections Holidays Place;
    (b) where a Member’s Loyalty Guest Credit has been redeemed as part of a booking cancelled by the Member, any Loyalty Guest Credit used as part of payment will be forfeited and cannot be used for a future stay;
    (c) only one Membership account can be used for each order or transaction in claiming a discount or in contributing to a Member’s spend as it contributes to Nights Credit and Stay Credit.
    (d) Loyalty Guest Credit is personal to a Member in whose name a Membership account is issued and are not transferable to any other guest or guest account.
    3.8. Loyalty Guest Credit can be used in conjunction with or in addition to any other discount or promotional offer unless specifically excluded in a discount or promotional offers terms and conditions.
    3.9. Loyalty Guest Credit is available for bookings made directly with Reflections Holidays. Loyalty Guest Credit cannot be earnt on or used for bookings made through agents or other intermediaries such as third-party booking sites.
    3.10. Loyalty Guest Credit is available for use on Eligible Accommodation (as defined in clause 7.1) only at Reflections Holidays Places. While every reasonable effort will be made to accommodate Members, including in peak seasons, no assurance or guarantee is given that bookings can be secured at any particular time or at any particular Reflections Holidays Place. Bookings are always subject to actual availability at a particular Reflections Holidays Place and may be affected by factors including seasonal demand, requirements for necessary maintenance, refurbishment and restoration and unexpected events, including fire, flooding and other weather and climatic conditions.
    3.11. Loyalty Guest Credit cannot be converted into cash and cannot be applied to a booking retrospectively. Loyalty Guest Credit cannot be used for kiosk purchases, equipment hire, or any other type of product or service except for accommodation fees.
    3.12 Where guest accounts are merged, credit will only be issued up to the amount of combined nights and combined stays that the guest has earnt across both profiles. Counting towards nights will add nights together between the profiles but will not count multiple stays at the same Reflections Holidays Place.

    4. Member Obligations
    4.1. It is a Member’s responsibility to inform Reflections Holidays of changes in personal details, including a Member’s address, email address and phone number. This can be done by contacting Reflections Holidays by email (RewardsClub@reflectionsholiday.com.au), via the Reflections Outsiders Loyalty Club Membership Portal located at www.reflectionsholidays.com.au/rewards or directly by phone or in person (please note: individual park contact details can be accessed here.

    5. Limitation of Liability
    5.1. These Terms relate only to Membership and the rights and obligations Members and Reflections Holidays have as respectively members and operator of the Reflections Outsiders Loyalty Club. In particular, these Terms are not concerned with any Member’s or Guest’s visit, occupation or use of a Reflections Holidays Place or its facilities.
    5.2. To the extent permitted by law, neither Reflections Holidays nor any of its officers, employees or agents accept any liability in contract, tort or otherwise for any claim or loss (including consequential loss), including for delay, disappointment, membership system failure or malfunction, additional cost or expense which may arise from or in relation to these Terms.
    5.3. Nothing in these Terms is intended to exclude, restrict or limit any rights a Member may have under the Australian Consumer Law, whether applied as a law of the Commonwealth of Australia or New South Wales.

    6. General
    6.1. Reflections Holidays may amend these Terms or make changes to any applicable fee or charge, including Loyalty Guest Credit or other Membership benefits at any time by notice to the Members. Such notice will be effective when it is posted on the Reflections Holidays website.
    6.2. Reflections Holidays reserves the right to suspend or terminate any Membership by notice to the Member if it reasonably believes that the Member has breached these Terms.
    6.3. Reflections Holidays gives no warranty as to the continuing operation of the Reflections Outsiders Loyalty Club, which may be terminated or suspended at any time upon 30 days’ prior notice, either in writing, by email or by posting online on the Reflections Holidays website.
    6.4. When a person agrees to become a Reflections Outsiders Loyalty Club Member, Reflections Holidays collects, holds, uses and discloses personal information as set out in its Privacy Policy, which can be viewed here. Personal information is used to provide access to goods and services, conduct the Reflection Outsiders Loyalty Club and tailor marketing material. In addition to agreeing to receive information regarding the Reflections Outsiders Loyalty Club, Reflections Holidays may, for an indefinite period, unless otherwise advised, use such personal information for promotional, marketing, publicity, research and profiling purposes, including sending electronic messages or telephoning Members. The Privacy Policy also contains information about how Members may opt out, access, update or correct their Personal Information.

    6.5. These Terms are governed by the laws in force in New South Wales.

    7. Definitions
    In these Terms capitalised words have the following meanings:
    ‘Eligible Accommodation’ means accommodation of a kind generally available to a tourist on a short-term basis, including in a cabin, villa, tiny home, beach tent or powered or unpowered camp site at a Reflections Holidays Place. It excludes accommodation, residency or occupation of a site in accordance with or otherwise subject to the Holiday Park (Long-term Casual Occupation) Act 2002 or the Residential (Land Lease) Communities Act 2013 and goods and services (including payment for such goods and services) which are not properly characterised as accommodation for tourists, including boatshed hire, shelter hire, kiosk purchases, event and equipment hire, reserve hire, day visitation passes, annual visitation passes, site holder fees and ancillary charges and fees and charges for corporate, group and park residences.
    ‘Guest’ means a person who is staying at or visiting a Reflections Holidays Place and, where the context allows, includes a Member.
    ‘Loyalty Guest Credit’ means a guest credit issued to a Member in accordance with clause 3.1 of the Terms. Loyalty Guest Credit is not real money and is only given the value to it assigned by Reflections Holidays (currently 1 credit = $1 AUD).
    ‘Member’ means a person who is a member of the Reflections Outsiders Loyalty Club and who has applied for Membership under these Terms.
    ‘Membership’ means membership of the Reflections Outsiders Loyalty Club.
    ‘Loyalty Number’ means the unique number allocated to each Member.
    ‘Reflections Holidays Place’ means a holiday park or property owned or operated by Reflections Holidays available for overnight stays and listed on its website www.reflectionsholidays.com.au.
    ‘Sign-up Guest Credit’ means a Loyalty Guest Credit issued to a member in accordance with clause 3.2 of these Terms.
    ‘Nights Credit’ means a Loyalty Guest Credit issued to a member in accordance with clause 3.4 of these Terms.
    ‘Nights Count’ means a count of eligible accumulated nights stayed at Reflections Holiday Places as outlined in clause 3.4
    ‘Stay Credit’ means a Loyalty Guest Credit issued to a member in accordance with clause 3.5 of these Terms.
    ‘Stay Count’ means a count of eligible accumulated stays at Reflections Holiday Places as outlined in clause 3.5
    ‘Ticket to Tour’ means a Loyalty Guest Credit as outlined in clause 3.6
