
Rewards Club Terms & Conditions
1.Introduction
1.1. These terms and conditions (Terms) are effective as at the date specified above and may be amended by NSW Crown Holiday Parks Land Manager trading as Reflections Holiday Parks (Reflections) from time to time.
1.2. On registration each Member accepts these Terms and any published rules, policies and procedures that may be adopted by Reflections Rewards Club at any time.
2.Membership
2.1. Membership is open to individuals aged 18 years or over.
2.2. Each individual applicant is only entitled to hold one Membership at any one time and will receive a unique Membership Number.
2.3. Any person wishing to become a Member must apply for Membership. Reflections Holiday Parks may in its sole discretion and without giving reasons accept or reject any application for Membership.
2.4. Submission of personal details is mandatory for activation and verification of Membership. Such details include an applicant’s full name, date of birth, email address, contact phone number and address. All personal information of a Member will be held in accordance with the Reflection Holiday Parks Privacy Policy. Membership may only be used during the period that it is current and valid. Membership will remain current and valid from the date of registration and for so long as Reflections Holiday Parks operates and maintains the Reflections Rewards Club program in its current format.
2.5. Member’s must provide a valid email address to create a Membership. Member’s who are found to not have given an email address at sign-up will have their Membership cancelled unless they provide one. Member’s who unsubscribe from Membership emails will no longer receive communications related to their Membership benefits.
2.6. A Member may cancel his or her Membership at any time by notice in writing to Reflections Holiday Parks at PO Box 212 Carrington NSW 2294 Attention: Manager, Reflection Rewards Club or by sending an email to RewardsClub@reflectionsholiday.com.au. Membership is not transferable. A Guest can only utilise one Membership per booking.
2.7. Employees of Reflections Holiday Parks, as well as Contracted Park Managers and their employees, are ineligible to join the Reflections Rewards Club.
3.Benefits
3.1. On application for Membership each Member will be eligible to receive one Sign-up Guest Credit valued at $25 (or such value as Reflections Holiday Parks sets from time to time). A minimum spend of $100 or more in a single stay applies to obtain this credit. This credit can be used in the first stay upon sign-up provided a minimum of $100 is spent in that stay.
3.2. In the ordinary case a Sign-up Guest Credit will be issued via email no later than 10 days of the end of the calendar month in which the Member completed an online application form provided by Reflections Holiday Parks (unless redeemed at time of booking; this is only valid for Sign-ups after 1 May 2019). The Sign-up Guest Credit will remain valid for 12 months from the date of sign-up and must be redeemed in that period.
3.4. In each calendar year a Member will also be entitled to receive a Loyalty Guest Credit valued at $100 in any case in which a Member makes bookings for Eligible Accommodation equal to or exceeding the Minimum Purchase Value of $1,000 in a single calendar year. A Member’s actual spend in any such period is referred to in these Terms as a Member’s Loyalty Spend. The Loyalty Guest Credit will remain valid for 12 months from the date of its issue by Reflections Holiday Parks to a Member.
3.5. In the ordinary case a Loyalty Guest Credit will be issued within 10 days of the departure date in which the Member’s stay is equal to or exceeds the Minimum Purchase Value in total spend. The Loyalty Guest Credit cannot be used for the stay where the balance of the Member’s Loyalty Spend equals or exceeds the Minimum Purchase Value (as the $100 Guest Credit will be issued upon departure of this stay) and must be used for the following stay.
3.6. Each Loyalty Guest Credit is subject to the following further conditions:
(a) each Member’s Loyalty Spend will be determined by reference to the prices payable at the date Eligible Accommodation is purchased or otherwise becomes due and payable (whichever occurs last);
(b) one or more transactions can be applied in determining each Member’s Loyalty Spend;
(c) at midnight on 31 December each year a Member’s Loyalty Spend will be cleared and reduced to zero; and
(d) in the period from 1 May 2019 to 31 December 2019 and in any subsequent calendar year only one Loyalty Guest Credit will be issued to a Member irrespective of the Member’s spending on Eligible Accommodation in that period.
(e) it cannot be redeemed or attributed to a future Eligible Accommodation booking in the form of a deposit payment.
3.7. Each Guest Credit (comprising either a Sign-up Guest Credit or a Loyalty Guest Credit) is subject to the following further conditions:
(a) to claim a Guest Credit (in the case of a Sign-up Guest Credit) or to ensure recognition of a transaction as contributing to a Member’s Loyalty Spend (in the case of a Loyalty Guest Credit) a valid Membership must be held, and the applicable Membership Number must be quoted, both at the time of booking and on checking in at a Reflections Holiday Park;
(b) no discount will be available, nor will any transaction be credited towards a Member’s Loyalty Spend after full payment has been made and Member has checked-in to their stay at any Reflections Holiday Park;
(c) where a Member’s Loyalty Guest Credit has been redeemed as part of a booking cancelled by the Member any Loyalty Guest Credit used as part of payment will be forfeited and cannot be used for a future stay;
(d) at the time of booking and on checking in at a Reflections Holiday Park valid Membership details must be given by the Member included in a booking at a Reflections Holiday Park; and
(e) only one Membership account can be used for each order or transaction in claiming a discount or in contributing to a Member’s Loyalty Spend.
(f) Guest Credits are personal to a Member in whose name a Membership account is issued and are not transferable.
3.8. Guest Credits cannot be used in conjunction, with or in addition to any other discount or promotional offer. Separate Guest Credits or promotional offers may be available as part of an exclusive promotional program for Members.
3.9. Guest Credits are available for bookings made directly with a Reflections Holiday Park (phone, email and in person). Guest Credits cannot be used for bookings made through Reflections Holiday Parks’ website, agents or other intermediaries such as third-party booking sites.
3.10. Guest Credits are available for accommodation at every Reflections Holiday Park and for the following types of accommodation including camp sites (powered and unpowered), cabins, villas, beach tents and other forms of roofed accommodation which are offered at an individual Reflections Holiday Park. While every reasonable effort will be made to accommodate Members, including in peak seasons, no assurance or guarantee is given that bookings can be secured at any particular time or at any particular Reflections Holiday Park. Bookings are always subject to actual availability at a particular Reflections Holiday Park and may be affected by factors including seasonal demand, requirements for necessary maintenance, refurbishment and restoration and unexpected events, including fire, flooding and other weather and climatic conditions.
3.11. Membership is personal to the holder of the Membership account and is not transferable. Guest Credits cannot be converted into cash and cannot be applied retrospectively.
4.Member Obligations
4.1. It is a Member’s responsibility to inform Reflections Holiday Parks of changes in personal details, including a Member’s address, email address and phone number. This can be done by contacting Reflections Holiday Parks by email (RewardsClub@reflectionsholiday.com.au), via the Rewards Club Membership Portal located at www.reflectionsholidayparks.com.au/rewards or directly by phone or in person (please note: individual park contact details can be accessed here.
5.Limitation of Liability
5.1. These Terms relate only to Membership and the rights and obligations Members and Reflections Holiday Parks have as respectively members and operator of the Reflections Rewards Club. In particular, these Terms are not concerned with any Member’s or Guest’s visit, occupation or use of a Reflections Holiday Park or its facilities.
5.2. To the extent permitted by law, neither Reflections Holiday Parks nor any of its officers, employees or agents accept any liability in contract, tort or otherwise for any claim or loss (including consequential loss), including for delay, disappointment, membership system failure or malfunction, additional cost or expense which may arise from or in relation to these Terms.
5.3. Nothing in these Terms is intended to exclude, restrict or limit any rights a Member may have under the Australian Consumer Law, whether applied as a law of the Commonwealth of Australia or New South Wales.
6.General
6.1. Reflections Holiday Parks may amend these Terms or make changes to any applicable fee or charge, including Guest Credits or other Membership benefits at any time by notice to the Members. Such notice will be effective when it is posted on the Reflections Holidays Parks website.
6.2. Reflections Holiday Parks reserves the right to suspend or terminate any Membership by notice to the Member if it reasonably believes that the Member has breached these Terms.
6.3. Reflections Holiday Parks gives no warranty as to the continuing operation of the Reflections Rewards Club, which may be terminated or suspended at any time upon 30 days’ prior notice, either in writing, by email or by posting online on the Reflections Holiday Parks website.
6.4. When a person agrees to become a Reflections Rewards Club Member, Reflections Holiday Parks collects, holds, uses and discloses personal information as set out in its Privacy Policy, which can be viewed here. Personal information is used to provide access to goods and services, conduct the Reflection Rewards Club and tailor marketing material. In addition to agreeing to receive information regarding the Reflections Rewards Club, Reflections Holiday Parks may, for an indefinite period, unless otherwise advised, use such personal information for promotional, marketing, publicity, research and profiling purposes, including sending electronic messages or telephoning Members. The Privacy Policy also contains information about how Members may opt out, access, update or correct their Personal Information.
6.5. These Terms are governed by the laws in force in New South Wales.
7.Definitions
In these Terms capitalised words have the following meanings:
‘Eligible Accommodation’ means accommodation of a kind generally available to a tourist on a short-term basis, including in a cabin, villa, beach tent or powered or unpowered camp site at a Reflections Holiday Park. It excludes accommodation, residency or occupation of a site in accordance with or otherwise subject to the Holiday Park (Long-term Casual Occupation) Act 2002 or the Residential (Land Lease) Communities Act 2013 and goods and services (including payment for such goods and services) which are not properly characterised as accommodation for tourists, including kiosk purchases, event and equipment hire, reserve hire, day visitation passes, site holder fees and ancillary charges and fees and charges for corporate, group and park residences.
‘Guest’ means a person who is staying at or visiting Reflections Holiday Park with a Member and, where the context allows, includes a Member.
‘Guest Credit’ includes a Sign-up Guest Credit and a Loyalty Guest Credit.
‘Loyalty Guest Credit’ means a guest credit issued to a Member in accordance with clause 3.4 of the Terms
‘Member’ means a person who is a member of the Reflections Rewards Club and who has applied for Membership under these Terms.
‘Membership’ means membership of the Reflections Rewards Club.
‘Membership Number’ means the unique number allocated to each Member.
‘Minimum Purchase Value’ means an amount of $1,000, being the minimum amount which a Member must spend on Eligible Accommodation in a calendar year to be eligible to receive a Loyalty Guest Credit.
‘Reflections Holiday Park’ means a holiday park owned or operated by Reflections Holiday Parks and listed on its website www.reflectionsholidayparks.com.au.
‘Sign-up Guest Credit’ means a guest credit issued to a member in accordance with clause 3.2 of these Terms.
