Booking Terms & Conditions

1. General


1.1 The booking terms and conditions outlined below apply to Reflections Holidays.

1.2 Management reserves the right to amend or alter prices (other than for confirmed bookings), sites and these Terms and Conditions at any time without notice.

1.3 Reflections Holidays take bookings up to 50 weeks in advance.

1.4 Whilst we endeavour to meet our guests’ requests, site/cabin preference is not guaranteed and may be altered by Park Management at any stage before your arrival.

1.5 You must be at least 18 years of age with a valid form of ID and payment method to stay with us if you are not accompanied by a parent or guardian.

1.6 Standard Rates are based on two persons. Additional charges apply for bookings of three persons or more (both adults and children).

1.7 For purposes of booking, age ranges are classed as;

1.7.1 Infant – 3 and under
1.7.2 Child – 4 to 17 inclusive
1.7.3 Adult – 18 and over

1.8 Children under the age of 9 are not permitted to sleep on top bunk beds. Bunk Beds have a maximum weight limit of 75kg.

1.9 All guests will be required to complete a guest registration form prior to or upon arrival at Park. Failure to do this may result in refusal of your reservation.

1.10 All guests must abide by Park Rules, guidelines, signage and reasonable requests from park staff at all times.

1.11 Due to high occupancy in Peak periods, we encourage you to rebook with us prior to departure to avoid disappointment. A deposit is required. Minimum nights may apply at different parks and during different seasonal periods.

1.12 A valid credit card must be provided for all bookings to secure your reservation with us. The guest credit card must match the name on the Reservation. The guest whose signature appears on the guest registration form shall be deemed responsible to pay for all room/site costs and agrees that all costs will be paid prior to departure. The guest authorises the park to deduct any outstanding room/site costs, fees, damage charges, etc from their given credit card. Any payments not able to be recovered directly from a guest will be referred to a debt collection agency with the cost of collection being added to the debt to be collected.

1.13 Credit Card Security: All bookings require a credit card for security. Your credit card number will be held by an encrypted link for the duration of your booking and up until 14 days after your departure. Charges can be made to this as requested. Damages or loss incurred from your cabin or site may also be charged to this card, including, but not limited to, loss of items from your cabin, damages or non-returns of hire equipment, loss of keys or damages to the site. Should you not be able to provide a valid credit card, a $300 cash bond and a copy of your photo ID is required for all bookings.

1.14 Credit Card Pre-Authorisation: A pre-authorisation of your credit card may be required. A pre-authorisation is a temporary hold of a specific amount of the available balance on a credit or debit card that is provided upon booking. The pre-authorisation is not a charge, and no funds are debited from your account.

1.15 Reflections Holidays will not be held responsible for, or liable to compensate loss, theft, or damage to personal property on, or brought into the accommodation/site or in the immediate vicinity of the accommodation/site.

1.16 Personal information collected may be used for direct marketing purposes where, in absence of an objection, implied consent is assumed. Reflections Holidays will also provide options for a person to opt out of receiving marketing material.

1.17 The number of guests on the sites or in the accommodation at any one time shall not exceed the number of guests declared on the booking information, otherwise additional fees may be incurred.

1.18 Occupancy is granted under the acceptance of the above-mentioned terms and conditions in accordance with the park rules (subject to change without notice). Management reserves the right to terminate the occupancy due to any breach of the above.

1.19 Reflections reserves the right to refuse or decline your booking at any time without reason. We reserve the right to refuse entry into the park for any reason we so determine in our discretion.

1.20 You have no ownership rights over the reserved cabin or site to resell to a third party. Subletting is not permitted.

1.21 If the guest is seeking special consideration over and above our standard cancellation policy, Reflections reserves the right to request satisfactory evidence to support the guest request which may include medical certificate or other documentary evidence.


2. Minimum Length of Stay

2.1 Minimum length of stays applies during seasonal periods and may vary from Park to Park.


3 Payments/Deposits


3.1 A deposit is required to secure each booking. Bookings will not be guaranteed or confirmed without a deposit amount as specified at time of booking. Please note if your deposit is not paid within 48 hours, your reservation will be cancelled. Online bookings must be completed within 15 minutes to guarantee booking.

3.2 If the full payment of your booking is not received by the Balance Due Date, then the booking will be cancelled, and initial deposit paid will be forfeited.

3.2.1 An existing valid Guest Account Credit may be used for the deposit if the value of the guest credit is greater than the total of the booking. If the total of the booking is greater than the guest credit, full payment of the deposit is required and then the credit will be applied to the balance.

3.3 Credit Card Transaction Fees of 0.46% apply to Visa, Mastercard & American Express.

3.4 Deposit and Payment Terms, All Seasons (Excludes Yamba Lighthouse Cottages, Norah Head Lighthouse, Wee Jasper and Signature Series):

3.4.1 Christmas & Summer (Australian School holidays):

  • Deposit due is first night or $100, whichever is greater
  • Balance due 60 days before arrival

3.4.2. Easter, Autumn & Spring School Holidays & Long weekends:

  • Deposit due is first night
  • Balance due 30 days prior to arrival

3.4.3. Mid and low season

  • The deposit due is the first night
  • Balance payable on arrival*

*For bookings longer than 7 days, the first-week balance is due on arrival, with the remainder payable 7 days in advance.

3.5 Yamba Lighthouse Cottages and Norah Head Lighthouse Deposit and Payment Terms, All Seasons

3.5.1 Christmas & Summer (Australian School holidays):

  • The deposit due is 50% of the total booking, if the booking is made 45 days or more prior to arrival
  • Balance due 45 days before arrival
  • If arrival is within 45 days, full pre-payment is required

3.5.2. Easter, Autumn & Spring School Holidays & Long weekends:

  • The deposit due is 50% of the total booking, if the booking is made 30 days or more prior to arrival
  • Balance due 30 days before arrival
  • If arrival is within 30 days, full pre-payment is required

3.5.3. Mid and low season

  • The deposit due is 50% of the total booking, if the booking is made 14 days or more prior to arrival
  • Balance due 14 days before arrival
  • If arrival is within 14 days, full pre-payment is required
  • For bookings longer than 7 days, the first week balance is due on arrival, with the remainder payable 7 days in advance

*For bookings longer than 7 days, the first-week balance is due on arrival, with the remainder payable 7 days in advance.

3.6 Wee Jasper Deposit and Payment Terms, All Seasons

3.6.1 Wee Jasper requires full payment at time of booking (regardless of seasonality)

3.7 Signature Series (Seal Rocks)

3.7.1 Christmas & Summer (Australian School holidays):

  • The deposit due is first night or $100 whichever is greater if the booking is made 60 days or more prior to arrival
  • Balance due 60 days before arrival
  • If arrival is within 60 days, full pre-payment is required

3.7.2. Easter, Autumn & Spring School Holidays & Long weekends:

  • The deposit due is the first night, if the booking is made 30 days or more prior to arrival
  • Balance due 30 days before arrival
  • If arrival is within 30 days, full pre-payment is required

3.7.3. Mid and low season

  • The deposit due is first night of the total booking, if the booking is made 14 days or more prior to arrival
  • Balance due 14 days before arrival
  • If arrival is within 14 days, full pre-payment is required
  • For bookings longer than 7 days, the first-week balance is due on arrival, with the remainder payable 7 days in advance

4. Cancellations/Amendments, Refunds & Guest Credits


4.1 We will do our best to assist you should your holiday plans change, although cannot guarantee that changes can be made nor that a refund is available. Please note that bookings in certain time periods, or for certain accommodation types cannot be changed; however, in some instances, changes may be permitted but you will forfeit deposit paid. If you wish to change any details of your booking, please contact our parks directly.

4.2 Points 4.1, 4.2, 4.3 apply to bookings made through the Reflections website, Reflections Central Reservations Team or direct with a Reflections Holiday Park.

4.3 For bookings made via a third party, travel agent or tour operator, please contact them directly.

4.4 A 48-hour cooling-off period applies to all new bookings. If a booking is cancelled within 48 hours of the original booking date no cancellation fee will apply, unless arriving within 10 days from the date the booking was created, in which case no cooling off period applies.

4.5 Cancellation Terms, All Seasons (Excludes Yamba and Norah Head Lighthouse Cottages, Wee Jasper and Signature Series):

4.5.1. Christmas & Summer (Australian School holidays):

  • If cancelled more than 60 days prior to arrival, the initial deposit will be forfeited.
  • Any additional funds paid will be refunded or credited.
  • If cancelled 59 days or less prior to arrival, all monies paid will be forfeited.

4.5.2.Easter, Autumn & Spring School Holidays & Long weekends:

  1. If cancelled 30 days or more before arrival, the initial deposit will be forfeited. Any monies paid over this amount will be refunded/ credited.
  2. If cancelled 29 days or less prior to arrival, all monies paid will be forfeited.

4.5.3. Mid and low season (winter school holidays & any dates not included above):

  1. If cancelled more than 24 hours prior to arrival, the initial deposit paid will be held as a credit. Any monies over this will be refunded/ credited
  2. If cancelled within 24 hours of arrival, all monies paid are forfeited.

4.6 Yamba Lighthouse Cottages Cancellation Terms, All Seasons:

4.6.1. Christmas & Summer (Australian School holidays):

  1. If cancelled more than 45 days prior to arrival, the initial deposit will be forfeited. Any monies paid over this amount will be refunded/ credited
  2. If cancelled 44 days or less prior to arrival, all monies paid will be forfeited.

4.6.2.Easter, Autumn & Spring School Holidays & Long weekends:

  1. If cancelled 30 days or more before arrival, the initial deposit will be forfeited. Any monies paid over this amount will be refunded/ credited.
  2. If cancelled 29 days or less prior to arrival, all monies paid will be forfeited.

4.6.3. Mid and low season (winter school holidays & any dates not included above):

  1. If cancelled 14 days or more prior to arrival, the initial deposit will be forfeited. Any monies over this amount will be refunded/ credited
  2. If cancelled 13 days or less prior to arrival, all monies paid will be forfeited.

4.7 Wee Jasper Reserves Cancellation Terms, All Seasons:

4.7.1 Christmas & summer

If cancelled 72 hours or more prior to arrival, the first night will be forfeit. Any monies paid over this amount will be refunded/ credited.

4.7.2 Mid and low season cancellation

  1. If cancelled more than 24 hours prior to arrival, a cancellation fee equal to the rate of one night will apply and monies paid over this amount will be refunded/ credited.
  2. If cancelled within 24 hours of arrival, all monies paid are forfeited.

4.7.2 Easter, Autumn & Spring School Holidays & Long weekends PLUS Christmas & Summer (Australian School holidays):

  1. If cancelled 72 hours or more before arrival, a cancellation fee equal to the rate of one night will apply and monies paid over this amount will be refunded/ credited.
  2. If cancelled 72 hours or less prior to arrival, all monies paid will be forfeited.

4.8 Signature Series - All Seasons (Seal Rocks)

4.8.1 Christmas & summer

  1. If cancelled more than 60 days prior to arrival, the initial deposit will be forfeited. Any monies paid over this amount will be refunded/ credited
  2. If cancelled 59 days or less prior to arrival, all monies paid will be forfeited.

4.8.2.Easter, Autumn & Spring School Holidays & Long weekends:

  • If cancelled 30 days or more before arrival, the initial deposit will be forfeited. Any monies paid over this amount will be refunded/ credited.
  • If cancelled 29 days or less prior to arrival, all monies paid will be forfeited.

4.8.3. Mid and low season (winter school holidays & any dates not included above):

  • if cancelled 14 days or more prior to arrival, the initial deposit will be credited, and any monies over this amount will be refunded
  • If cancelled 13 days or less prior to arrival, all monies paid will be forfeited.

4.8.4 No refunds are given for unused portions of your booking, including no-shows and early departures or cancellations after you or your party has arrived at the park. A no-show is when you do not check-in on the day of your confirmed date of arrival. Please note that if you or your party do not arrive on the date of your arrival, full cancellation fees apply and will be charged to the credit card placed against the booking. Cancellation fees will not be refunded or credited. Your cabin/site may not be available if no prior communication about your booking has been received.

4.8.5 Should you wish to vacate your accommodation or site early, tariffs and deposits paid are not refundable or available as a guest account credit.






5 Guest Account Credit



5.1 Guest Account Credit must be used within 12 months of the date of the credit being processed. If the credit is not used for a stay prior to the expiry date will be void, of no value and any unused value will not be refunded.

5.2 Guest Account Credit Is only redeemable for accommodation or site fees at any Reflections Holiday Park and is not redeemable for cash, meals or any other products or services.

5.3 Guest Account Credit may be used in part or full, and any remaining value can be used towards subsequent purchases of accommodation within the 12-month validity period.

5.4 An existing valid Guest Account Credit may be used for the deposit if the value of the guest credit is greater than the total of the booking. If the total of the booking is greater than the guest credit, full payment of the deposit is required and then the credit will be applied to the balance.

5.5 Any further cancellation once the Guest Account Credit has been applied to a replacement booking will still be treated as the same cancellation date as when the 12-month validity period commenced, that is any subsequent cancellation will not result in a new validity period. Once expiry date is set, it is not extendable.

5.6 Once a guest credit has been offered and accepted, no subsequent refunds will be offered.

5.7 A guest account credit cannot be transferred to any other guest bookings. The name the credit is held under must match the guest's name on the booking.
